2012 ATSSB AREA NORTH AUDITION INFORMATION

CONGRATULATIONS for having students involved in the Area/All-State certification level of the audition process. This is indicative of a lot of hard work on both the part of the director and the student. We are looking forward to hosting you in Argyle for the auditions. I hope I cover all of the material you will need to know in this document. If you have any questions, please feel free to contact me.

LOCATION & DATE: The auditions are at Argyle High School in Argyle on January 7, 2012. Please thank the Argyle directors and schools for continuing to host the auditions.

JOB ASSIGNMENTS: The judging assignments have been made from the forms sent in by your region coordinator. They are shown on a separate sheet in this document. As usual, in some judging areas we had too many and in other areas we did not have enough. This necessitated moving some of you to different judging areas and also allowed for us to have enough people to use directors as monitors. Thanks in advance for your willingness to fulfill the assigned position and helping us have a smooth, successful audition process.
VERY IMPORTANT!!!! If you are not going to be able to do your assignment, please contact me as soon as possible. Extra judges are going to be hard to find during the holidays!! If we do not have enough help, we will be forced to combine some of the judging assignments which will obviously make the auditions last longer. You are encouraged to bring other adult sponsors with you. PLEASE encourage them to volunteer to monitor the halls, cafeteria, etc.

SCHEDULE: A 9:00AM meeting for all monitors and a 9:30AM meeting for all directors in the band hall. All contestants will meet at 9:30AM in the cafeteria. Tryouts will begin at 10AM. For the past few years, this schedule has allowed us to complete the tryouts by mid-afternoon and allowed you to return home at a reasonable hour. Let’s keep up this good tradition this year.

REGISTRATION: At 9AM registration will be held in the cafeteria. Region Coordinators need to be prepared to either be at the registration table or have someone assigned to this duty. All contestants will receive their Area patch at this time.

AREA FORMS: There is no need to bring forms any forms to Area.  If one of your students is selected to the All State Band, you will get an email from TMEA with instructions on how to complete these forms online through the TMEA website.

AREA FEE: All regions are paying the area fee for their own contestants. You may be required by your region coordinator to bring your entry fee to them on Saturday, but that is between you and your region.  Area fees are $20 per student.

ELIGIBILITY AND CONDUCT: UIL eligibility requirements are in effect for this competition. All eligibility rules as set by the state and local school districts must be observed. If you have a student that becomes ineligible, be sure you notify your region coordinator as soon as possible so that they can contact the next Area alternate with as much time as possible to prepare. Be sure you remind your students about being on their best behavior and being very careful that they do not interfere with the auditions of other contestants. Also remind them that we are guests of Argyle High School and should each be responsible for helping take care of it.

ALTERNATES: Alternates will be called up if a student becomes ineligible, decides to forfeit their position, or is not going to be at the auditions for any reason, if we receive notice in time to contact the alternate. If you have a certified student that is not coming to the auditions for any reason, please contact your region coordinator as soon as you become aware of the situation, so the alternate can be notified and have time to prepare.

HOLDING ROOMS: Below are the guidelines established by the State Board in February 2009:

Students are encouraged to bring snacks and water into the holding rooms.  They may also bring material for personal use (books, homework, etc.) that do not require others for participation (no games, etc.).

Students are allowed to bring iPods or mp3 players with ear buds or headphones only, no speakers.

Students may not write on chalkboards or dry erase boards in the holding rooms and should leave the room as they found it - taking all trash and items they brought.

One student needs to be in the audition room, one sitting immediately outside the audition room (i.e. a “hot seat” to facilitate the process).

Audition rooms should not be adjacent to holding rooms wherever possible; if they are, students should be discouraged from making disparaging remarks about the performances taking place.

Phones may be used for texting but no calls are to be made from holding rooms; all phones should be on silent or vibrate.

Students are allowed a restroom break if requested.  If they miss their place in the audition lineup, they will be inserted whenever they return.  If they have not performed in the first round and do not return before the end of that round, they may not return for the second; if they leave in the second round before performing and do not return before the end of the second round, they receive a second round score of zero “0”.

No one is allowed in the holding rooms except auditioning students and monitors.  No one is allowed in the halls adjacent to the holding rooms or audition rooms.

PERCUSSION TUNING AND REQUIREMENTS: Please make sure that you have carefully reviewed the ATSSB Percussion Audition Guidelines. These guidelines have changed since last year and can be found at this web address: http://www.atssb.org/execsec/PercAudGuide.09.pdf.  Timpani tuning, types of rolls, mallet selection, etc. are listed in the PAL and will be used as the guidelines for the Area auditions. If you bring your own percussion equipment for your percussionists, please unload it in the back of the school outside the choir hall.  NEW FROM THE STATE EXECUTIVE COMMITTEE: No tuners of any kind will be allowed in the percussion audition room.

LUNCH: Remember, there is no lunch break in the audition process. There will be a concession stand available for your students. So, make appropriate plans for getting your students through the lunch hour whether that is the concession stand, sack lunch, late breakfast, or a meal after the tryouts. AGAIN, THERE IS NO LUNCH BREAK IN THE AUDITION PROCESS.

ALL-STATE HOUSING: If you have a student certified to state, be sure you go to the housing table in the cafeteria.  There you can pick up and complete a “Room Panning” form for All State.  On the back will be the “All-State Housing Quick Guide” with the step-by-step process for securing housing.  Student rooms will have four students in each.  If you cannot fill a room with your students, find another director who needs to fill a room and combine your students.  Only one director will sign up to be a chaperone for that room and get a room in the Hyatt Regency.

If you do not complete the housing form and do the online work your students will be responsible for finding their own rooms.

ALL-STATE FOLDER CHECKOUT: At the housing table in the cafeteria the students will sign out their music for the All State seating auditions. Please don’t let them forget to get their music.
