I.
Region Band Entry Procedures
A. Auditions will
follow the ATSSB Audition procedures as listed on the ATSSB website.
High School audition music will come from the approved ATSSB list.
Middle School audition music will come from the list approved by Region 12
which is available on the ATSSB Region 12 Website.
The current rotation is as follows:

B. Fees for ATSSB
All-Region Band Auditions are set at $8.00 per
student per instrument.
Fees for ATSSB Jazz Band Auditions are set at $20.00 per student per instrument.
C. The entries
must be submitted online through the TMEA website or according to ATSSB
procedures.
1. All contests deadlines will be 14
days prior to auditions.
2.
The late and final online student entry will be 7 days prior to the day of
auditions.
3.
Correction to an existing student entry may be made between 13 and 7 days prior
to the audition
without penalty, but any student entry
added less than 14 days but more than 7 days prior to the contest
will result in an additional 100% student
late fee.
4.
Entries begun less than 14 but more than 7 days prior to the contest will be
assessed a 50%
additional CAMPUS
fee charge and 100% student fee charge.
5. A CAMPUS entry created less than 14
days prior to the contest will be subject to the TMEA
Grievance Process.
6. Directors will be allowed to add or
change student entries the day of the audition if region rules
allow it. The 50%
additional CAMPUS and 100% additional student late fees will be assessed.
7. All fees must be paid or supported by a school purchase order prior to
the start of
auditions. Your PO
must be for the exact amount of your entry or you will need to have a
check or cash for
the remaining amount due.

E. The head junior
high/middle school band director must be a paid member of ATSSB and TMEA.
The High School Band Director’s
card cannot be
used unless there is no
Middle School Director.
F. A student will be denied to tryout due to a Director not
being an ATSSB and TMEA paid member.
G. Directors
should enter all students they believe will audition, regardless of
eligibility. The director is responsible for
enforcing eligibility rules on the day of the
audition.
Student eligibility rules will be based on current UIL Rules of
Eligibility.
H. Directors
and students are responsible for checking the list of audition material and
errata.
I.
Sixth grade
students may audition for the Middle School All-Region, but seventh and eighth
grade students may not
audition for the High School All Region Band.
II.
Director/Judge Responsibilities-Auditions
A.
Five judges
must be used in each room for high school auditions and three judges for middle
school auditions.
The Region Coordinator will
select a Chair for each room. An appropriate honorarium of $40.00 will be
paid
to non-Region 12 directors.
Region 12
Directors that do not have students participating in the auditions will be paid
$25.00.
B.
All Full
time Directors from each school entered are required to be in attendance to
judge at the HS Jazz, HS Region
and the MS Region auditions. If a
Director is not present, then a $40.00 fee will be imposed or the director will
need to send
a quailifed proxy in
their place that will not be paid. (Exception: If
you have students auditioning in other auditions at the same time.)
C.
Prior to
beginning the auditions, the judges in each room will select two scales plus
the chromatic and one excerpt from each
etude of the audition materials. (The
selected audition materials will be posted outside the door at each audition
room.)
D.
All judges
are required to use a calculator to add the results of his/her sheets. At
the conclusion of the audition, judges must
exchange Form 2A and check the tabulations.
E. Students auditioning
should be out of view to the judges. At no time should the judges or
students be in view of each other.
F. There will be no vocal
communication between participants and judges.
G. Tempo must be
strictly adhered to. Judges WILL NOT change tempo.
H. Middle school only-
If the student leaves off part of the tryout, the room chairperson will remind
the student of the omitted
section as soon as he/she detects it, preferably before the
student leaves the room.
I. Schools are required to
bring adult chaperones to the audition for middle school and high school
students.
III.
Procedures for Audition
A.
At the
region audition (HS ONLY), only one student will be in
the room to compete (like Area Tryouts). Parents of the student
auditioning will not be allowed in the audition room.
B.
The warm-up
will be the one breath rule. Students may play the 1st note of the etude or scale.
The percussion warm up time limit
will be fifteen seconds.
C. Students may
use their own music in the audition room. Original music will be provided
in each room.
D. Two rounds
will be used for the auditions starting with Letter A both times.
E.
Students on
multiple instruments are only permitted for Low Clarinets (Alto, Bass, Contra),
Saxophones (Alto, Tenor Bari) and
Trombone (Tenor, Bass) at the
High School level, provided an audition fee is paid for each instrument entry.
Students must
decide which instrument that he/she will perform on
at the Region Clinic/Concert, and will receive one patch for performing
at the Clinic/Concert. Middle School students
will not be allowed to double on any instrument.
F.
If a student
qualifies for Area on two instruments, the student must choose which instrument
he/she will perform on at Area
before the audition results are final. The
student will perform on the same instrument at the Region Clinic/Concert that
is
chosen to proceed to Area Auditions.
G.
Students
must perform excerpts selected by the judges from the required list for the
appropriate year. No exceptions will
be made at the any level.
H.
A chromatic
scale, two scales, and excerpts from each required etude will be heard.
There is no memorization requirement
at any ATSSB audition.
I. The monitor must
stand away, out of sight, from the student while the student is performing.
IV.
Administrative Issues
A. Auditions
1. All
results will not be considered official until thirty minutes after ALL
auditions and tabulations have been completed.
2. The
Region Coordinator will mail or e-mail the results of the contest to all
directors.
B. Region Band Clinic/Concert
1.
If a
director has knowledge that a student will not be able to participate in the
Region Band or at Area auditions, he/she
must contact the Region Coordinator at the
earliest possible time.
2.
Each
student’s director (or a qualified proxy) MUST be in attendance at the
rehearsals to assist the clinicians and assist
in supervising his/her students.
3. The
Clinic/Concert will be one week or two following the Tryouts for both HS and MS
HIGH.
V.
Student’s Rights
A.
Up to such
time as the scales are completed, a student has the right to exit the audition
room due to mechanical failure of his/her
instrument and return to complete the audition after
the instrument is repaired or the student locates another instrument to
use.
If an instrument cannot be
repaired prior to the conclusion of the audition and the student is unable to
continue the audition, the
audition will be considered complete. If the
student leaves the room after the first note of the first etude has been
played, the
audition will be considered complete.
B. Students
have the right to an anonymous audition.
VI.
Student’s Responsibilities
A. Students are
responsible for attaining the accurate audition material from the ATSSB and
Region 12 ATSSB websites.
B. Students are
responsible for reporting any mechanical problems to the monitor before
beginning the etude portion of the audition.
C. Students
are responsible to refrain from any activity that would identify themselves or
their school during the audition.
C.
Students,
who are selected as members of the Region Band, are required to attend all
rehearsals and the concert. A student may be
excused from a rehearsal in case of an emergency as
determined by the Region Officers. The director must notify the Region
Coordinator of the anticipated
absence prior to the rehearsal or the student’s membership will be forfeited
and an alternate will
be called. No excused absences are allowed for
the rehearsal or concert.
VII. Honorariums, Fees
A. The Region
Band Clinicians will be paid a fee of $450.00, which includes expenses (hotel,
meals, mileage)
B.
The Region
Band Organizers will be paid for duties including preparing folders, attending
the rehearsals, or having a substitute
director in the rehearsal during the Region Clinic/Concert
and other necessary items as determined by the Region Coordinator.
1. Each Region Band Organizer
will receive $50.00.
2. Each Percussion Organizer
will receive $50.00.
C. The Clinic/Concert Host will receive $100.00.
D. The Region
Coordinator will receive $500.00 per school year for services set for the in
the section titled “Duties of the Region Coordinator.”
E. The Region
Coordinator or selected director will receive $100 as an honorarium to host the
Region OPS (Paid by the State).
F. The
Region Secretary/Treasurer will receive $250.00 per school year for services
set for the in the section titled "Duties of the Secretary."
G. The schools
hosting the auditions will receive a $100.00 honorarium.
H. The Region
will contribute $500.00 to the ATSSB Scholarship Fund in February of each year
depending on available funds.
VIII. Region Officers
A.
The region
will elect officers in even number years at the spring meeting. They will
be nominated by the region members and elected by
majority vote. They will serve for a two year
term. There is no limited to consecutive terms.
B. Officers will be the
following: Region Coordinator, Assistant Coordinator, Secretary/Treasurer,
and
Jazz Coordinator.
C. In the event of an officer
needing to vacate their office, an election will be held at the next scheduled
meeting.
IX. Duties of the Region Coordinator
A. Oversee high
school and middle school ATSSB All Region Band Auditions in matters such
as dates, site, judges and hosts.
B.
Prepare the programs for the Region Band Concert.
C.
Contract with the Recording Company and T-Shirt Sales.
D. Oversee
ATSSB Region Jazz Auditions/Clinic/Concert in matters pertaining to dates, site
and hosts.
E.
Communicate with members of the region.
F.
Organize and set the agenda for meetings.
G. Maintain and
update the website as necessary.
H. Attend State
Board meetings.
X.
Duties of the Assistant Coordinator
A.
Conduct
called Region Meetings, with the agenda set forth by the Region Coordinator in
the absence of the Region Coordinator
B. Perform the
duties of the Region Coordinator in the event of his/her absence.
C. Assist the
officers as needed.
D.
Communicate with members of the region.
XI.
Duties of the Secretary/Treasurer
A.
Take and maintain the minutes of each
meeting. Email or mail region minutes to the region members for their review
for the next meeting.
Pass
on the minutes to the next secretary.
B. Communicate
w/members of the region
C. Manage
the Region's finances and provide financial reports.
D. Assist the
officers as needed
XII.
Duties of the Jazz Coordinator
A. Secure Audition
site, recording equipment, assist Region Coordinator in auditions
B. Have all
materials ready for auditions
C. Secure Clinic
site, clinician, music and be there to assist
clinician during clinic.
D. Assist the
officers as needed
